Can DreamFlow actually replace HubSpot, Mailchimp, and my other tools?

Yes. DreamFlow includes CRM, email marketing, SMS campaigns, VoIP calling, proposals with e-signatures, invoicing, automations, live chat, calendar booking, forms, reporting, and an AI assistant — all in one platform. Most customers replace 4-8 separate tools. Everything is built-in, not stitched together with integrations.

How do I move my data from my current CRM?

We support direct imports from HubSpot, Mailchimp, ActiveCampaign, GoHighLevel, Salesforce, and any CSV export. Scale and Agency plans include guided migration support — we'll help you move contacts, deals, templates, and history. Most migrations take less than a day.

Are there contracts or hidden fees?

No contracts — cancel anytime from your billing settings. No hidden usage fees either. Every plan includes email, SMS, and calling credits upfront. If you hit a limit, usage pauses and you choose whether to add a credit pack or upgrade. Nothing ever charges automatically without your explicit consent.

Yes. All data is encrypted at rest and in transit. We use Supabase (built on PostgreSQL) with row-level security, meaning each organization's data is completely isolated. We never sell or share your data. You can export or delete your data at any time.

Can I switch plans anytime?

Yes. Upgrade instantly and get prorated credit for your current billing period. Downgrade takes effect at the end of your current period. No penalties, no hoops.

What can Sally, the AI assistant, actually do?

Sally handles chat auto-replies, call transcription, email writing, proposal generation, lead scoring, form spam detection, and daily business briefings. Background AI (transcription, scoring, spam detection) runs automatically at no cost. On-demand generation (writing emails, creating proposals) uses AI credits included in your plan.

I run an agency. Can my clients each have their own workspace?

Yes. The Agency plan ($499/mo) includes 10 sub-accounts with full white-label support — your brand, your domain, your colors. Each client gets their own isolated workspace. You can manage them all from one dashboard and resell at your own prices.

Connecting Outlook lets you manage all your customer emails inside DreamFlow. Outbound emails are sent through Microsoft's servers, and replies sync back automatically so you never miss a conversation.

Before You Start

A Microsoft 365 or Outlook.com account
Admin or Owner role in your DreamFlow workspace
Pop-ups allowed for login.microsoftonline.com

Step-by-Step Setup

Navigate to Settings > Integrations in your DreamFlow dashboard.
Find the Outlook card and click Connect.
Sign in with your Microsoft account when the Microsoft login window appears.
Review the permissions DreamFlow requests:
- Read and write mail -- allows DreamFlow to sync your mailbox and send emails on your behalf.
- Read contacts -- optional, lets DreamFlow match incoming emails to existing contacts.
Click Accept to authorize. You will be returned to DreamFlow.
A green Connected badge confirms the integration is active.

Important

If your organization uses Microsoft 365 with admin-managed consent, your IT administrator may need to approve DreamFlow's app registration before you can connect.

Configure Sync Settings

Go to Settings > Integrations > Outlook > Sync Settings.
Choose Two-way sync (recommended) or Outbound only.
Optionally select which Outlook folders to sync (Inbox, Sent, or specific folders).
Click Save Settings.

Sending Emails from DreamFlow

With Outlook connected, emails sent from DreamFlow are routed through Microsoft's servers:

Open any contact record and click Email.
Your connected Outlook address appears as the sender.
Compose and click Send. The email is delivered via Outlook and tracked in DreamFlow.

Tip

You can connect both Gmail and Outlook to the same DreamFlow workspace. When composing an email, choose which account to send from using the "From" dropdown.

Troubleshooting

Admin consent required: Ask your IT admin to approve DreamFlow in the Microsoft 365 admin center under Enterprise Applications.
Token expired: Microsoft tokens can expire. Click Reconnect in Settings > Integrations > Outlook.
Partial sync: Verify that the correct folders are selected in your sync settings.
